Job description:
Do you have a finance and administrative background and want to use your skills to support and help deliver a new water purification technology, increasing access to fresh water around the world and reducing the reliance on plastic bottles?
We’d like to add some more structure to what we’re doing, and you could be part of it. We are looking for a highly accomplished administrator with a background in finance, accounting, bookkeeping or similar, who is a competent independent problem solver and able to stay on top of our fast paced progress and growth by providing highly efficient and effective administrative support to the organisation.

You will be building on your existing administration experience while quickly developing new skills including lean project management, helping evolve our processes, structures and reporting for current and future key projects. You’ll be comfortable with the uncertainty and pace of a small company that’s changing quickly.
Your Role
Cash Flow and Financial Reporting Management
- Manage cash flow and financial reporting to the CEO, ensuring the timely preparation and filing of Year-End accounts, Corporate Tax returns, VAT returns, and other statutory filings.
Liaison with Bookkeeper and Financial Operations Management
- Liaise with the company’s bookkeeper to manage invoicing, contracts, payroll, and other financial operations as needed.
Audit, Tax, and Compliance Management
- Organise and manage audits, independent accountant reports, and annual R&D tax credit claims. Ensure compliance with all regulatory requirements, including intellectual property rights management and timely payments.
Insurance and Risk Management
- Organise and procure company and directors' insurance, ensuring adequate coverage and risk management for the company.
Investor Relations and Data Room Support
- Build and maintain a Data Room for investors, including the preparation of due diligence documents and supporting investor and stakeholder relations.
Board Secretariat and Corporate Governance Support
- Provide board secretariat support, including assembling and distributing papers, setting dates and agendas, minuting meetings, and managing company filings with Companies House.
Grant and Loan Management
- Manage grant applications, submissions, and reporting processes, including market research, relationship building with grant providers, and ensuring compliance with de minimis thresholds.
HR and Administrative Support
- Support HR implementation, manage the relationship with BeyondHR (external provider), and maintain internal HR documentation. Provide additional administrative support such as booking travel, logistics, and minor tasks.
Requirements:
- Must have at least 5 years experience in a senior administrative role (preferably as an Office Manager/Admin Manager).
- Experience in Accountancy, Bookkeeping or similar.
- You must be a self starter and have a “hit the ground running” attitude and have the ability to cope with interruptions in a constantly changing environment.
- Have first class written and verbal presentation skills and the ability to work under pressure.
- Have Tender or Grant support preparation and submission experience (preferred)
- Be highly organised and methodical in your approach to work, with strong planning, organisational skills, and the ability to work independently.
- Work autonomously to prioritise and manage your workload to deliver within tight timescales with the ability to prioritise work to ensure deadlines are achieved.
- A fully supportive and integrated team player contributing to effective performance in achieving strategic goals, with a flexible attitude to deadlines if and when required.
- Advanced IT skills, particularly GSuite (Google Docs)
